One person sets Hyre up for the whole team. After that everyone can get going with the setup checklist for users.
Do this with one or two people who manage both your ATS and your Microsoft or Google environment. It saves a lot of back and forth.
Before you start
An IT admin available who can approve the Hyre AI app in Microsoft (Entra) if your organisation requires it.
You know who is admin of your ATS or CRM and have the API details ready (API key, or client ID and secret). Never send keys or passwords by email, not to us either.
Everyone has their own AI assistant account, we recommend Claude Pro or Team. On Claude Team or Enterprise, the owner of your Claude workspace has to allow the Hyre connector.
Chrome as the browser for everyone who connects LinkedIn.
A first list of candidates or contacts for your first campaign (optional).
Step by step
Create your own account and accept the terms on behalf of your organisation. See Create your account and complete onboarding.
Connect your ATS or CRM under Settings › Integrations: find your system and click Connect. Then test reading: ask your AI assistant to look up a candidate. See Connect your ATS.
Choose the fields under Settings › Fields. Only switch on what you really need, and create a text field Hyre profile on candidate and contact in your ATS. See Set up fields.
Set up your organisation under Settings › Organization: the team's Ask AI client, a Default owner for new candidates and contacts, and whether the full transcript goes to your ATS. See Organization settings.
Upload your brandbook under Settings › Tone of voice. See Upload your brandbook.
Set up the notetaker for the organisation under Settings › Notetaker: name, logo and the chat message it posts when it joins. See Notetaker settings.
Doing outreach? Add who must never be contacted, such as current clients, under Settings › Exclusions. See Exclusions.
Invite your colleagues under Settings › Organization Members with Invite Member. Working with several teams? Create them under Settings › Teams. See Add a colleague.
Good to know
Start with a small group. A pilot works best with at most five people, including one technical key user. Roll out to the rest after that.
Every recruiter their own Hyre account. Otherwise everything in your ATS ends up under one name.
What belongs to the organisation and what is personal? Organisation: ATS connection, fields, brandbook, notetaker default, organisation rules and templates. Personal: channels, calendar, tone of voice, signature and conversations.
Colleagues do not see each other's conversations, unless someone shares one. Contacts are shared across the organisation.
ATS not working yet? Start recording anyway. Conversations stay in Hyre and you write them up later.
