Hyre is a layer on top of your ATS: everything you discuss with candidates and clients comes into Hyre, and goes into your ATS or CRM when you ask for it. Your ATS stays complete without you typing up notes.
Reading happens on its own
After you connect, Hyre reads your whole database once: candidates, contacts, jobs, clients and applications. After that it only picks up changes.
How fast a change shows up in Hyre depends on your ATS. For most systems it is within a few hours, for some within minutes. The article for each ATS has the details.
Reading can never change anything in your ATS.
Whether someone is a candidate or a contact comes from your ATS. You don't need to set it again.
Writing only happens when you ask
Hyre never writes to your ATS or CRM on its own. It only writes when: - you tick actions in Conversations or Inbox (for example update candidate and write summary) and click Run agent; - you run the ATS & CRM sync routine, by hand or scheduled in Claude; - you ask your AI assistant (Claude, ChatGPT or Copilot) yourself, for example "add this candidate to my ATS".
Writing takes 1 to 2 minutes per conversation. Feel free to start several at once.
What goes into your ATS
One note or activity per conversation on every external participant: a meeting, phone call, in-person conversation, memo, email thread or LinkedIn chat. It lands as an activity or note of the type call, meeting, email or LinkedIn, depending on what your ATS supports.
The text is the summary, plus one line: the kind of conversation, date, duration and a link back to the conversation in Hyre.
The full transcript is only added if your admin switched it on. See Full transcript or summary only.
Fields such as job title, employer, location, salary and notice period are filled by the agent from the conversation, if those fields are switched on in Hyre. See Set up fields.
New candidates or contacts are created when they are not in your ATS yet. Hyre first searches by email address, phone number and LinkedIn URL. If it finds someone with a similar name, the agent asks you first whether it is the same person.
Email and LinkedIn conversations always go in as a summary, never as a copy of your messages.
What Hyre does not do
Hyre does not delete candidates, contacts or jobs in your ATS.
Hyre does not reject candidates or move anyone in your pipeline on its own. That only happens when you ask.
Colleagues never get a record in your ATS, even when they were in the meeting.
Writing a conversation twice does not create a duplicate note. Hyre remembers what it already wrote.
Candidates to your ATS, contacts to your CRM
Each organization has one ATS write target (where candidates go) and one CRM write target (where contacts go). If your ATS is also your CRM, as with many recruitment systems, that is one and the same system. Choose candidate on a conversation and the note lands in your ATS. Choose contact and it lands in your CRM. That is why the choice matters: chosen wrong means written to the wrong place.
How the write target is set is in Connect your ATS or CRM.
The AI write limit
An AI assistant that goes wrong should not be able to mess up your ATS in a day. That is why the AI write limit is on by default: - A user with the Employee role makes at most 50 writes a day to your ATS and CRM through an AI assistant. New candidates, updates, notes and merging duplicate contacts all count. - Reading does not count, and neither do tasks and calendar events: they live in Hyre and your own calendar, not in your ATS. - Owners, admins and managers have no limit. - The count starts again every day at midnight (Amsterdam time). - At the 51st write the assistant says the limit is reached and nothing is written. An owner, admin or manager can then do it, or switch the limit off.
An owner, admin or manager switches it on or off under Settings › AI write limit with Limit AI writes to the ATS/CRM. Other users can only view the page.
Does Hyre work without an ATS?
Yes. Conversations, summaries, recap emails, tasks, meetings and LinkedIn campaigns all work without an ATS. Notes then stay in Hyre. If you connect an ATS later, you can still write them over. So don't wait with recording until the connection is ready.
