Add a colleague to Hyre

Invite a colleague to your organisation, resend the invitation when it expired, and what your colleague does next.

Written by Robin Alcedo Overbosch

Every recruiter has their own Hyre account in your organisation. That way everything in your ATS lands under the right name and everyone only sees their own conversations. You add a colleague yourself, in a minute.

Before you start

  • You are an Owner or Manager. An Employee cannot invite anyone: ask your owner or manager.

  • Your colleague's work email address, the address they will sign in with.

Step by step

  1. Go to Settings › Organization Members (for a manager this is Team Members) and click Invite Member at the top right.

Settings › Organization Members with the Invite Member button and the Invites list
  2. Fill in:

    • Email: your colleague's email address.

    • Name (optional): their name.

    • Organization Role: usually Employee. See Roles and permissions.

    • Add to Team (optional): if you work with teams.

The Invite Member window with Email, Name, Organization Role and Add to Team

  3. Click Create Invite. Your colleague gets an invitation by email.

  4. The invitation link is also on your clipboard and in the window. Send it yourself if you like, for example through Teams or Slack.

The invitation stays under Invites until your colleague accepts it.

What does your colleague do?

  1. Opens the link in the email.

  2. Signs in with Continue with Google or Continue with Microsoft, using the same email address the invitation was sent to.

  3. Clicks Accept Invite and goes through onboarding. See Create your account and complete onboarding.

Good to know

  • An invitation is valid for 7 days and works once. Expired? Click Re-invite next to it under Invites. A new link goes out and the old one stops working.

  • Email not arriving? Check the address for typos and look in spam. Or send the link yourself.

  • Withdraw an invitation: click Dismiss next to it.

  • Your colleague already created their own Hyre account? No problem. Just send an invitation. When they accept, their account moves to your organisation. Hyre asks them to confirm first.

  • Same email domain? A new colleague who signs up with your domain is asked during onboarding whether they want to join your team. An invitation is clearer though, because you choose the role.

  • Cost: every member counts as one seat in your subscription. See Subscription and billing.

  • Someone leaving? See Deactivate or remove a colleague.
