Problems writing to your ATS

Conversation not in your ATS, in the wrong place or under the wrong owner, or your connection says Needs attention? Here's how to fix it.

Written by Wijnand Karsens

What you see

  • You wrote a conversation to your ATS, but nothing is there.

  • The note is on the wrong person, or on the company instead of the candidate.

  • A candidate is in your ATS twice.

  • Notes are under the wrong colleague's name, or start with "Logged by ... via Hyre".

  • The connection under Settings › Integrations says Needs attention, or lists missing rights.

  • The agent says the daily limit is reached.

  • A field gets an odd value or gives an error.

Why this happens

Writing depends on three things: that Hyre knows who the person is (candidate or contact, with an email or phone number), that the connection works with enough rights, and that your ATS accepts the data (required fields, pick lists). If one of those goes wrong, the note doesn't arrive, or not correctly.

How to fix it

Nothing in your ATS

  1. Open the conversation in Conversations or Inbox. Is the person linked, and is candidate or contact set correctly? Without a linked person Hyre doesn't know where the note goes. This also applies to memos.

  2. Does the person have an email address or phone number? Add it and try again.

  3. Wait 1 to 2 minutes. Writing takes a moment; the ATS & CRM sync routine takes longer.

  4. Check whether your ATS has required fields Hyre can't fill. Switch them on under Settings › Fields or make them optional for now.

  5. Check that a write target is chosen (see below) and that the connection works.

  6. If your organization has no ATS or CRM connected, the note stays in Hyre. That's intended.

  7. Claude shows an error when writing? Start a new chat and run the action again. Still failing? Reconnect Hyre in Claude. See Hyre stopped working in Claude.

In the wrong place

  • Chose candidate or contact wrong? Change it on the conversation and write it again. A candidate goes to your ATS, a contact to your CRM.

  • The link in the note to your ATS record doesn't open? Open the record in your ATS itself.

Duplicate candidate

  • Hyre first searches by email, phone and LinkedIn URL, and asks whether a similar name is the same person. Pick the existing record then.

  • If someone is already in your ATS twice, Hyre writes to the record it linked first. Merge the two in your ATS. Hyre never deletes records in your ATS, so remove test records and duplicates yourself.

  • If the candidate was created after the conversation, Hyre doesn't link older conversations on its own. Link the person on the conversation and write it again.

Wrong owner or "Logged by ... via Hyre"

The recruiter's email address in your ATS isn't exactly the same as their Hyre login. See Record owners and the default owner: Show users, match the address, Check again.

Needs attention or missing rights

  • Needs attention: click Reconnect. Often a key expired or the connection's user left or was deactivated.

  • Missing rights: the card names what Hyre may not do, for example "may not update candidates" or "cannot see deals". Ask your ATS admin for that right. For read rights, click Re-check access afterwards. A write right disappears from the card as soon as the next write succeeds.

Daily limit reached

The AI write limit is on and you made 50 writes through your AI assistant today. It works again tomorrow, or ask an owner, admin or manager to do it or to switch the limit off under Settings › AI write limit. See How Hyre works with your ATS or CRM.

Odd values or errors in a field

For choice fields (dropdowns), the options from your ATS must be known. Click Refresh under Settings › Fields. If your ATS refuses one field, Hyre still writes the others and the agent says which field failed.

"Webhook Delivery Failure" emails from your ATS

These are old registrations from before a new connection. Your sync keeps working. Send us the email through Helpdesk and we'll clean them up.

Working again?

  • In Conversations the conversation gets a tick or turns green: it is in your ATS.

  • Open the person in your ATS: the note is there, with the date and a link back to Hyre.

Prevent it

  • Choose candidate or contact first on every conversation.

  • Make sure everyone signs in to Hyre with the same email address as in your ATS.

  • Keep the field list under Settings › Fields short and current.

  • Use the daily End of your day email to see which conversations are not written yet.

Still not working?

Send us a message through the chat at the bottom left in Hyre (Helpdesk). Say what you see and since when, and which conversation it is. Never include API keys or passwords.
