What you see
The notetaker didn't show up in your meeting.
The meeting is grey in Conversations with Not admitted.
Or the meeting isn't in Conversations at all.
Why this happens
The most common causes, most frequent first: 1. Nobody let it in. The notetaker waits in the lobby like a guest. In Teams only the organiser or an admin can admit someone from the lobby. You then see Not admitted. 2. The event has no video link, or the link is from a platform other than Google Meet, Microsoft Teams or Zoom. 3. The event isn't on your primary calendar, but for example on a shared calendar or a colleague's. 4. The meeting started earlier, later or on a different link than the event says. The notetaker goes to the scheduled link at the scheduled time. 5. Auto-join is off under Settings › Notetaker (Join my meetings automatically), or you chose Don't record on the event. 6. Your mailbox is disconnected. Then Hyre can't see your calendar. See My mailbox is disconnected. 7. The meeting only admits signed-in users or people from your own organization. For example Zoom with "only authenticated users", Teams without guest access, or a Google Meet limited to your own domain. 8. The host removed the notetaker, or the meeting ended before it got in. 9. A colleague's notetaker was there, but the conversation is not in your list. One notetaker records for everyone in the meeting, but only if the meeting is also in your calendar. If it was not in your primary calendar, or your mailbox was disconnected, Hyre does not know you were there. Ask your colleague to share the meeting with you. See Sharing a conversation with colleagues or by public link.
How to fix it
During the meeting: 1. Check the lobby and click Admit for the notetaker (Hyre AI Notetaker by default). Not the organiser in Teams? Ask the host. 2. Not there? Click Add Notetaker in the sidebar. Pick the meeting under Today's meetings and click Join, or paste the link under Other meeting link and click Join. It can take 1 to 2 minutes to appear.
3. A phone call? Call the number under Phone Notetaker in the same window and add it to your call.
For next time: 1. Check that Join my meetings automatically is on under Settings › Notetaker. 2. Put meetings on your primary calendar, with the video link in the event. 3. Check that your mailbox shows Connected under Settings › Channels. 4. Test the meeting link in an incognito window. If it asks you to sign in, the notetaker can't get in either. Change the meeting settings before you share the link.
Is it working again?
The notetaker is in the participant list and posted a message in the chat.
After the meeting it appears in Conversations › Meetings within a few minutes, without Not admitted.
Prevent it
Admit the notetaker right away, or in Teams add it to the people who may bypass the lobby.
Using another notetaker too? Turn off auto-join there, or you'll have two bots in your meeting.
Don't want to see meetings that weren't admitted? Click Hide not admitted in Conversations. They disappear on their own after 30 days.
Still not working?
Send us a message through the chat in Hyre (Helpdesk). Say what you see and since when, with the date, time and title of the meeting.
