Data processing agreement and terms

Where to find the data processing agreement and terms, who accepts them, how you hear about new versions and who gets privacy notices.

Written by Wijnand Karsens

Hyre is the processor, your agency is the controller. The agreements about this are in the data processing agreement (DPA), which is part of every contract.

Where to find the documents

On request we also send our technical and organisational measures, input for your DPIA and our position under the AI Act. Email [email protected].

Who accepts the DPA?

  • If you start with Hyre yourself, an owner or admin sees a screen with the terms and the DPA the first time they sign in. Tick "I accept the … on behalf of

" and click Accept and continue.

  • One acceptance by one owner or admin counts for the whole organization. Managers and employees never see this screen.

  • We keep a record per version of who accepted and when.

  • If you signed a pilot or contract on paper, the DPA is part of that contract and you don't see this screen while the pilot runs.

New versions

  • When there is a new version, we email every owner and admin at least 30 days in advance, again 7 days before, and on the start date.

  • In Hyre you see a blue banner: "A new version of your agreement with Hyre applies from

", with Review. You can hide it for 7 days, or click Not now until the start date.

  • From the start date, an owner or admin accepts the new version before the team can continue.

  • We announce a new subprocessor at least 30 days in advance.

What's new in the version of 1 November 2026?

Article 3.4: to check that your ATS or CRM connection works, Hyre may create a few clearly marked test records and delete them afterwards. Hyre never changes any other record while doing so. By accepting this version you agree to that.

Setting a privacy contact

Who at your company gets the notices described in the DPA, such as a data breach or a new subprocessor? 1. Go to Settings › Organization and find the Privacy contact card.

The Privacy contact card on the Organization page

2. Enter one email address, for example your privacy or compliance address, and click Save.

If you leave it empty, notices go to all owners and admins. The card shows who they are.

Data breaches

We have a fixed procedure. If a breach affects your data, you hear from us within 48 hours. Found a security problem? Email [email protected].
