Hyre processes the conversations you have with candidates and clients. Here is what Hyre sees, what it doesn't, and how we handle your data.
What Hyre sees
Only the channels you connect yourself: - your email and calendar, - your LinkedIn messages (and WhatsApp, if you connect it), - meetings the notetaker joins, - phone calls that go through Hyre, - recordings and memos you make yourself.
What Hyre doesn't see
Calls on your own phone number, outside Hyre.
Private WhatsApp, if you don't connect WhatsApp.
Meetings the notetaker doesn't join.
We don't listen in. Only what you start through Hyre, or where you let the notetaker in, is recorded.
You stay in control
You decide what gets recorded. Switch the notetaker off for a meeting, or switch off automatic joining and invite it yourself. See Recordings and consent.
You can delete anything: conversations, emails, LinkedIn and WhatsApp conversations.
What you delete in Gmail, Outlook, LinkedIn or WhatsApp, Hyre deletes too.
Colleagues can't look into your conversations, unless you share a conversation with them or your admin set it up that way. See Who sees what?
Where your data is
The application runs in a data centre in the Netherlands. The database is in Frankfurt, Germany.
Meeting recordings are kept for 30 days in Frankfurt. Transcription runs in the EU. The transcript and summary are then stored in our database.
A small part goes outside the EU, such as email and calendar sync, the AI gateway and telephony. For each vendor, the role, country and legal basis are on hyre.io/subverwerkers.
A module you don't use sends nothing to the vendor behind it.
Security
Every connection is encrypted (TLS 1.2 or higher) and stored data is encrypted (AES-256). The access keys of your connected accounts get an extra encryption per field.
You sign in with Google or Microsoft. Hyre stores no passwords. Two-factor authentication comes from your own Google or Microsoft tenant.
Each customer only sees its own data.
A small number of Hyre staff can look in for support. Every time, we record who, when and why.
AI and your data
AI providers don't store your data and don't train on it. Every request requires zero data retention.
Hyre doesn't train AI models on your data.
AI makes suggestions: a summary, a draft, a match. You decide. No feature rejects a candidate or moves a candidate in your ATS on its own.
Your AI assistant (Claude, ChatGPT or Copilot) only sees through Hyre what you are allowed to see in Hyre.
Taking your data with you or having it deleted
Your admin can erase one person completely. See Retention, do not contact and erasing a person.
You can export the data of one person or your whole organization, as JSON or CSV. Email [email protected] for this.
When your contract ends, we export your data and delete it within 10 working days, with a written confirmation.
Backups are made daily, encrypted, and overwritten after 7 days.
