Own ATS: connecting your own ATS

What the Own ATS connection for a self-built ATS can and can't do, and how Hyre handles opt-outs and erasure requests from your ATS.

Written by Wijnand Karsens

If your agency has its own self-built ATS with its own API, Hyre can connect to it by arrangement through Own ATS. This is a pilot: your ATS stays in charge of your data, and Hyre only writes through the functions your ATS offers for it.

Before you start

  • Own ATS is not a standard connection. Hyre sets it up together with you. Get in touch through Helpdesk or your usual contact at Hyre.

  • Your ATS has an API that meets the agreements with Hyre.

  • You only see the Own ATS card under Settings › Integrations if your organization has this connection. Only an owner or admin can connect or test it.

Connect and test

  1. Go to Settings › Integrations and click Connect on Own ATS.

  2. Fill in the Base URL, the Publishable key and the Hyre key. The keys are hidden as you type.

  3. Click Test connection. This only reads and changes nothing. You see whether the connection works and which environment the key opens (test or productie), or why it failed.

  4. Click Connect. Hyre tests again and only saves a connection that works.

  5. Need other keys later? Use ⋯ › Change keys on the card. ⋯ › Test connection tests the saved keys.

What Hyre reads

Candidates, contact persons, clients, assignments, pipelines and stages. The owner of a person in your ATS also becomes their owner in Hyre. The pitch of an assignment shows on the job in Hyre as a separate Pitch field.

What Hyre writes

Only through your own ATS's functions: - create a person (your ATS's duplicate check decides whether they already exist); - add an email address, phone number or LinkedIn profile; - log a conversation, with everyone who was in it; - move a candidate to another pipeline stage, when a recruiter asks.

What doesn't work

  • Hyre never changes a name, a role or an opt-out in your ATS.

  • Uploading documents (such as a CV) isn't possible. Upload a CV in your ATS yourself.

  • Editing or deleting notes from Hyre isn't possible.

  • Structured data such as work experience goes into your ATS as a new note, not into the fields themselves.

  • Hyre writes nothing about a person who is blacklisted or wants to be forgotten in your ATS.

Opt-outs and erasure requests

  • When your ATS blacklists someone, records that someone wants no more contact, or erases someone, Hyre hears about it within a minute. Hyre then marks that person Do not contact, so nobody can message them from Hyre.

  • Once a day Hyre compares your ATS's full opt-out list with its own and fixes any difference. An import or restored backup in your ATS is therefore correct by the next day at the latest.

  • If you lift an opt-out in your ATS, Hyre only lifts the mark your ATS set.

  • An erasure in your ATS does not automatically erase the person in Hyre. The mark says someone must erase them in Hyre. An owner or admin does that with Erase this person. See Retention, do not contact and erasing a person.
