Connect your ATS or CRM

Connect your ATS or CRM under Settings › Integrations, choose the write target and check that the connection works.

Written by Wijnand Karsens

Connect your ATS or CRM once for your whole organization. Hyre then reads your candidates and clients, and everyone on your team can write conversations to it.

Before you start

  • Anyone in your organization can make a connection. Only an owner or admin can choose where Hyre writes (the write target) or remove a connection.

  • You need your ATS's API details: usually an API key, or a client ID and client secret. Often only your ATS admin can create them, and sometimes you have to request them from the vendor. Sort this out first, it saves a lot of time.

  • Some systems have their own guide: OTYS, Bullhorn, Carerix, Recruitee and other systems.

  • Never send API keys, secrets or passwords by email or chat, not even to us. You enter them in Hyre yourself, where they are stored encrypted.

Step by step

  1. Go to Settings › Integrations. Under Integrations you see the list of systems. Filter on ATS Systems or CRM Systems, or search by name.

The Integrations page with the list of systems
  2. Click Connect next to your system.

  3. Fill in what your ATS asks for (API key, client ID and secret, or signing in to your ATS) and confirm.

  4. Your connection now shows at the top under Active Integrations. Hyre starts reading right away. For a large database the first read can take a few hours.

  5. Choose the write target (owner or admin). Click the ⋯ next to your connection and choose Make ATS write target or Make CRM write target. The card then shows the label ATS write target or CRM write target.

  6. Test by reading. Ask Hyre or your AI assistant for a candidate you know, for example "look up Jane Smith in my ATS". If it comes back, the connection works.

The write target explained

  • Each organization has exactly one ATS write target (for candidates) and one CRM write target (for contacts).

  • If you haven't chosen one, Hyre writes to the oldest working connection of that kind.

  • If your ATS is also your CRM (one system for candidates and clients), the card says ATS & CRM. The same system is then both write targets.

  • Do you use one system for both, but it is listed in only one category? An owner or admin can say so with the control on the card, so the AI assistant knows where to look.

Good to know

  • "Ask for" or a message about missing rights on the card? Your ATS granted part of the access. Hyre already works with what is allowed. The card names the rights to ask your ATS admin for. Then click Re-check access.

  • "Needs attention" means the connection stopped working, for example because a key expired or a user left. Click Reconnect. Your data stays.

  • A message about users without a match? A colleague has a different email address in your ATS than in Hyre. See Record owners and the default owner.

  • Switch off other ATS connections in your AI assistant. If Claude or ChatGPT also has its own connection to your ATS, the assistant doesn't know which one to use.

  • Test records. To check that writing works, Hyre can create a few clearly marked test records in your ATS and delete them afterwards. This is in the data processing agreement (article 3.4). Hyre never changes any other record while doing so.

  • Removing a connection (owner or admin): ⋯ › Disconnect. What Hyre already read (conversations, notes, documents) stays in Hyre, only the link to your ATS goes. If you connect the same system again later, records are linked again.

  • Rotating a key? Create a new key in your ATS, connect again with Reconnect or Connect, then revoke the old key.

  • Salesforce (also Byner and MySolution) first needs a package that a Salesforce admin installs. Hyre walks you through it under Connect.

  • Stuck? Send us a message through Helpdesk at the bottom left in Hyre, without keys or passwords. Often something has to be switched on at your ATS vendor, and we help you ask the right question.
