The notetaker is the bot that records and transcribes your online meetings. Under Settings › Notetaker you decide when it joins and how it introduces itself.
Before you start
Your calendar is connected (through your mailbox under Settings › Channels). The notetaker only joins events with a Teams, Google Meet or Zoom link.
The name, logo and chat message for the whole organisation are set by an Owner or Manager.
Step by step
Go to Settings › Notetaker.
Switch on Join my meetings automatically (on by default). The notetaker then joins every meeting with a video link on your calendar. Switch it off and you invite it yourself per meeting with Add Notetaker.
Give your notetaker a name under Your personal bot name, for example "Sanne's notetaker". Leave it empty and it is called Hyre AI Notetaker.
Under Your personal logo, click Upload logo and pick an image (PNG, JPEG or WebP). Everyone in the meeting sees it as the notetaker's camera image. Without your own logo, Hyre uses your organisation's logo.
Click Save.
For the whole organisation (Owner, Manager)
Further down the same page: 1. Organization-wide bot name and Organization-wide logo: used for everyone who set nothing themselves, and for meetings with several colleagues in them. 2. Chat message on join: the message the notetaker posts in the chat when it joins. It says the meeting is recorded and summarised with AI. At most 500 characters. Use {botName} and {recruiterName} where the names go. Leave it empty and Hyre uses an English default text. 3. Click Save.
Good to know
Which name does the meeting see? Only you from your organisation in the meeting: your name and logo. Several colleagues: the organisation's name and logo. Someone from another organisation that uses Hyre too: the default name, no logo.
Let the notetaker in. It waits in the lobby, like a guest. Click Admit. In Teams only the organiser or an admin can do that.
Skip one meeting? Switch on Don't record for that event in your calendar. No need to turn off auto-join.
Using another notetaker too? Switch off its auto-join, or you get two bots in your meeting.
Names wrong in the transcript? At the bottom of this page you add names and terms the notetaker must spell right, such as your company name and client names.
Only people already in the meeting when the notetaker joins see the chat message.
