Adding the notetaker to a meeting manually

Send the notetaker to a meeting yourself with Add Notetaker, when it did not come by itself or the meeting is not in your calendar.

Written by Robin Alcedo Overbosch

Usually the notetaker joins your meetings by itself. If the meeting started early, uses another link or is not in your calendar, send the notetaker yourself with Add Notetaker.

Before you start

  • You have the meeting link (Google Meet or Microsoft Teams), or the meeting is in your calendar today.

  • Wait 1 to 2 minutes after the start: the notetaker may still be on its way. This avoids two notetakers.

Step by step

  1. Click Add Notetaker under Tools in the sidebar.

    The Add Notetaker window
  2. Choose one of two options:

    • Today's meetings: today's meetings with a Meet or Teams link. The one running now is marked Now. Click Join next to the right meeting.

    • Other meeting link: paste the meeting link and click Join.

  3. Go back to your meeting. Within about a minute the notetaker waits in the lobby.

  4. Let it in with Admit. In Teams only the organiser or an admin can do that.

Good to know

  • Pick a meeting from Today's meetings that has not started yet, and the notetaker joins at the start time.

  • A meeting via Other meeting link appears in Conversations as Manual meeting. A meeting from your calendar keeps its own title.

  • Phone call? At the bottom, Phone Notetaker shows the number to add to a phone call. See Recording phone calls.

  • Add Notetaker shows from tablet size up, not on a phone.

  • Still not getting in? Read The notetaker did not join.
