Build a list for your campaign

Put profiles in an Outreach list: with the Sourcing Agent, from LinkedIn, Sales Navigator, Recruiter or a CSV, and lists that keep growing on their own.

Written by Robin Alcedo Overbosch

A campaign is only as good as the list behind it. Here is how to get profiles into a list and what to watch out for.

Before you start

  • Your LinkedIn account is connected under Settings › Channels.

  • For imports from Sales Navigator or Recruiter: your seat is connected on the Sales Navigator / Recruiter card under Settings › Channels. A Recruiter search only loads on the account that holds that seat.

Step by step

  1. Go to Outreach › Lists. You see all your lists, with how many profiles were imported, how many are still to come and how many also sit in another list.

    The Lists overview in Outreach
  2. Choose how to fill the list.

    • Sourcing Agent (blue button): the agent searches and scores profiles for a vacancy and puts the approved people in a list. See Sourcing Agent .

    • Import manually: pick a source yourself (see the table below).

  3. Choose where the profiles go: a new list or an existing one.

  4. Turn on the exclusion filters you want: people already in your inbox, people already in a teammate's inbox, and people already in another list.

  5. Click Import. The import runs on the server. You can close the window or the browser; the list shows the progress.

What you enter

Good to know

LinkedIn search

The link of a LinkedIn search

Reads about 10 profiles a minute, so 50 people take 5 to 10 minutes.

Sales Navigator

The link of a Sales Navigator search

Needs a connected Sales Navigator seat. Reads a page at a time, so it is faster.

Recruiter

The link of a Recruiter search or project

Needs a connected Recruiter seat. Recruiter leads and standard leads can't share a list.

CSV upload

A CSV file, you map the columns

See the requirements below.

My connections

Nothing

Your own first degree connections.

My post engagers

Nothing

People who engaged with your posts.

My profile visits

Nothing

People who viewed your profile.

Event attendees

A LinkedIn event

The attendees of that event.

Profile URLs

A list of LinkedIn profile links

Handy for a few individual profiles.

Lead magnet

A post

People who comment on that post.

From a campaign

A campaign from the menu

Copies everyone in a campaign that has launched, paused people included.

CSV requirements

  • Required: the LinkedIn public id (the last part of the profile link, for example jan-jansen-123, not the full URL), first name and last name.

  • Optional: company, job title, location, email, phone, language and four icebreakers (icebreaker, icebreaker_2, icebreaker_3, icebreaker_4).

  • Duplicate rows are skipped. When a row fails, Hyre names the row number. The rest of the import carries on, so don't import again.

Lists that keep growing (Dynamic)

Five sources can be dynamic: new connections, profile visitors, post engagers, engagers on your own posts and lead magnet. With Dynamic list on, new people are added on their own. Such a list carries a Dynamic badge with Stop updating and Resume updating. You can run at most 5 dynamic lists at a time.

Adding to an existing list

Pick the existing list as the destination in Import manually. CSV upload and From a campaign add people. LinkedIn search, Sales Navigator and Recruiter keep the people already in the list, but fill it again from the start with the new search. Only the owner of a list can add to it, rename it or delete it.

Good to know

  • Importing counts toward a daily limit. When you reach it, the import pauses and continues the next day. A large list can take more than a day. The counter top right shows how many you can still import today.

  • You can run one import at a time.

  • LinkedIn shows at most 1,000 results for a standard search and 2,500 for a Sales Navigator or Recruiter search. Narrow your search if you need more.

  • A Recruiter project does not refresh by itself. Import again to add new people.

  • Hyre does not see archiving in a Recruiter project. When you import a project, archived candidates come along too, and a campaign does not look at their status in Recruiter. Remove them from the list before you start the campaign, pause or delete them in the campaign, or mark someone as Do not contact if they must never be approached.

  • Download CSV in a list downloads the leads that match your current search and filters.

  • You can delete a list only once no active campaign draws from it. Archive that campaign first.

  • Start small. Check the first 30 to 50 profiles before you put a big list into a campaign.
