Replying and writing messages with templates and AI Help

Answer messages in your own writing style with the Assistant button, use templates, and write new messages by email, LinkedIn or WhatsApp.

Written by Robin Alcedo Overbosch

Every conversation in your inbox has a reply box with an Assistant button. Use it to let Hyre write a reply in your tone of voice, or to improve your own text.

Before you start

  • Your tone of voice is right under Settings › Tone of voice. Hyre uses your email style for email and your LinkedIn style for LinkedIn and WhatsApp. If it is off, your replies will sound off too.

  • For Meeting link: your booking link is set up in the Meeting Scheduler under Settings › Channels.

Replying to a message

  1. Open the conversation in the Inbox.

  2. On email, pick Reply, Reply all or Forward, and optionally Cc, Bcc and the From address.

  3. Click Assistant and choose:

    • Templates: a template from your list. Three come ready:

    • AI reply: reads the conversation and writes a fitting reply, or a follow-up when you wrote last.

    • Interested: a reply for someone who is interested.

    • Not interested: a polite decline.

    • AI Help: improve what you typed: improve writing, spelling and grammar, shorter, longer, simpler, more professional or more casual, or type your own instruction.

  4. Click Meeting link to insert your booking link, or Attach files to add an attachment.

  5. Read the reply and click Send (or ⌘ Enter / Ctrl Enter).

Writing a new message

  1. Click Compose at the top left.

    The New message window
  2. Pick the channel: Email, LinkedIn or WhatsApp.

  3. Fill in To. Hyre suggests contacts from your organisation.

  4. Type your message, or click Assistant and give an instruction under AI Help. A new message has no conversation to reply to, so AI reply writes from scratch there.

  5. Optionally use Meeting link, Task (plan a follow-up task, created once the message is sent) or the paperclip for an attachment.

  6. Click Send.

Sending an InMail: choose LinkedIn and tick Send as InMail. A subject line appears. You only see this option if your LinkedIn plan can send InMails (Recruiter, Sales Navigator or Premium).

Creating your own templates

  1. Go to Settings › Message templates and click New template.

    Message templates in Settings
  2. Name the template and write what the AI should do, for example "Invite the candidate for an intro call and include my booking link." You can use variables in double curly braces, such as {{given_name}}.

  3. Choose personal (only you) or organisation (your whole team; owner, admin and manager only).

  4. Switch on Inbox to see it in the reply box, and/or Outreach to use it in campaign steps.

  5. Save.

Don't want to see a default template? Hide it in this list.

Good to know

  • A template is an instruction for the AI, not fixed text. Hyre writes from your template, your tone of voice and the conversation. Want fixed text? Say so in the template.

  • Start with the default templates, then make your own.

  • On LinkedIn and WhatsApp Hyre writes plain text, without formatting. On email, formatting (bold, lists, links) is kept.

  • You can edit or delete a LinkedIn message for 60 minutes after sending. An InMail can only be deleted.

  • An email without a subject asks for confirmation first: Send anyway or Cancel.

  • Hyre never sends twice. If Hyre is unsure whether a mail went out, it asks you to check Sent.

  • Drafts are saved automatically, also across computers. With Gmail and Outlook the draft is also in your own Drafts folder.

  • Your signature is added to every email automatically. See Setting up signatures.
