Who was this? Linking a contact to a conversation

Link the right person to a conversation, choose candidate or contact, and resolve "Who was this?" and duplicate profiles.

Written by Robin Alcedo Overbosch

Hyre can only log a conversation properly when it knows who you spoke to, and whether that is a candidate or a client contact. You set this in the Profile panel on the right of every conversation.

Before you start

  • The conversation is in Conversations (or in your Inbox: the Profile panel works the same there).

Choosing candidate or contact

  1. Open the conversation. Profile is on the right.

The Profile panel with candidate or contact
  2. At the top there is a button per participant (speaker). Pick the participant and check that the right person is linked. Not linked means the person is not tied to your ATS or CRM yet. Change picks another contact, Remove removes the link.

  3. Choose the type under Type. If Hyre already made a suggestion, it says Suggested by AI underneath; check it.

    • Candidate: someone you place. Hyre writes to your ATS.

    • Contact: a client or hiring manager. Hyre writes to your CRM.

    • Both: someone who is both. You choose per action where it goes.

    • None: Hyre does not know where the conversation belongs and shows no ATS actions.

  4. Add what is missing: email, phone number, LinkedIn profile, WhatsApp number. Without an email or phone Hyre cannot find the person in your ATS.

Tip: always link the LinkedIn profile. Hyre uses it to tie email, LinkedIn, calls and meetings to one person. LinkedIn search runs through your own connected LinkedIn account.

"Who was this?" on a phone call

A call with a number Hyre does not know, or a notetaker call nobody linked, gets an amber Who was this? label in the list. 1. Open the call. At the top is the bar Who was this call with?. 2. Click Link a contact. A search of your organisation's contacts opens. If someone in the call said a name, it is already filled in. 3. Pick the right person. Not there? Choose Create new contact at the bottom, fill in the type, name and an email, phone or LinkedIn, and save. With Also create in, Hyre also creates the person in your ATS or CRM. 4. The call and the list now show the person's name.

Hyre never links someone based on a name in the transcript. You decide.

Merging two profiles of the same person

If someone exists twice in Hyre (for example once with only a phone number and once with an email), merge them. 1. In the conversation, click Merge with next to the participant. 2. Search for the other profile, select it and click Merge. 3. Confirm with Merge.

If Hyre spots a possible duplicate itself, a violet bar shows at the top of the conversation: This may be [name] in [your ATS]. Click Link to this contact to merge, or Not the same person to dismiss it. Hyre never merges without your click.

Good to know

  • Merging cannot be undone. Make sure it really is the same person.

  • Changing a contact's name changes it in all their conversations.

  • Contacts belong to the whole organisation, conversations belong to you. If a colleague links the same person, it is the same contact.

  • Wrong LinkedIn profile linked? Open LinkedIn in Profile, remove the profile with the bin icon and link the right one.

  • A conversation a colleague shared with you shows no Who was this? and no merge bar.
