Recording phone calls

Three ways to record a phone call with the notetaker: call from Hyre, add the notetaker to an incoming call, or call the notetaker first.

When you call through Hyre or add the notetaker to a call, you get a summary, recording and transcript in Conversations › Calls. Hyre never records your other phone calls on its own: only what goes through Hyre.

Before you start

  • Your phone number is connected and verified under Settings › Channels › Phone System. See Calling from Hyre.

  • You saved the notetaker's number in your phone. You find it in Add Notetaker under Phone Notetaker, and in the dialer with Copy the notetaker number or Add contact (this downloads a contact card "Hyre AI Notetaker"). Save it as a favourite so it is always at hand.

Three ways to record

1. Calling out from Hyre (recommended)

  1. Click Call in the sidebar.

  2. Type a number, or search by name or email in your contacts.

  3. Pick the right Microphone and Speaker and test them. A headset works best.

  4. Click Call. The notetaker is on the call automatically.

2. Incoming call on your mobile

  1. Answer and say you are adding someone for a moment.

  2. Add the notetaker number to the call (Add call).

  3. Tap Merge. The notetaker records from now on.

3. Calling out from your mobile

  1. Call the notetaker number first.

  2. Then add the candidate or contact to the call and merge.

After the call

  1. Open Conversations and pick the Calls tab.

  2. Open the call: you see Summary, Recording and Transcript.

  3. In Profile on the right, check that the right person is linked and whether they are a Candidate or Contact. If it says Who was this?, link a contact first: see Who was this? Linking a contact to a conversation.

  4. Log the call to your ATS or CRM: see Logging a conversation to your ATS or CRM.

Good to know

  • The other person sees your own number when you call through Hyre.

  • Only calls longer than 5 seconds with a recording appear in the list. Calls without an answer show with Show unanswered.

  • Someone called your own number and you did not add the notetaker? Then nothing was recorded. Hyre does not see your regular phone calls.

  • On a notetaker call (ways 2 and 3) Hyre does not see the other person's number, because both lines run through Hyre. Link the person yourself afterwards.

  • WhatsApp calls are not recorded. Put your phone on speaker and use Record, or record a memo afterwards.

  • Calls from Hyre in the browser send no summary email. The summary is in Conversations.

  • Calling does not work or no sound? Read Calling: no sound or the call fails.
