Recording online meetings with the notetaker

How the Hyre notetaker joins your Teams, Google Meet or Zoom meetings, how to let it in, and what "Not admitted" means.

Written by Robin Alcedo Overbosch

The notetaker records your online meetings, writes a transcript and a summary, and puts everything in Conversations. You can give the conversation your full attention.

Before you start

  • Your mailbox and calendar are connected under Settings › Channels (Google or Microsoft).

  • The meeting is on your primary calendar (the main calendar of your connected mailbox) and has a Google Meet, Microsoft Teams or Zoom link.

How the notetaker gets into your meeting

  1. Auto-join is on by default. Check it under Settings › Notetaker at Join my meetings automatically.

  2. Hyre checks your calendar every minute. Every event with a video link on your primary calendar becomes a meeting in Hyre before it starts. At the start time Hyre sends the notetaker to the link.

  3. Let the notetaker in. It waits in the lobby as a participant with the name from your settings, Hyre AI Notetaker by default. Click Admit, as you would for any guest. In Teams only the organiser or an admin can admit someone from the lobby. If you are not the organiser, ask the host.

  4. The notetaker introduces itself. Once in, it posts one chat message: the meeting is recorded, transcribed and summarised, and participants can ask you to remove it. Your admin can change this text.

  5. Afterwards the meeting appears in Conversations › Meetings within a few minutes, with summary, recording and transcript. You also get an email with the summary.

Keeping the notetaker out

  • Skip one meeting: open the event in Calendar and choose Don't record. This applies to the whole meeting, even if a colleague in the same meeting has auto-join on. It works per event, not for a whole series.

  • Never automatically: switch off Join my meetings automatically. You then add the notetaker yourself per meeting with Add Notetaker.

What does "Not admitted" mean?

When Hyre sent a notetaker to your meeting but nobody let it in, the meeting shows in grey as Not admitted. It has no recording, transcript or summary, and you cannot run actions on it. Click Hide not admitted to hide these rows. They disappear by themselves after 30 days.

Good to know

  • No video link in the event means no notetaker. An event on a calendar other than your primary one (a colleague's shared calendar, for example) gets no notetaker either. Use Add Notetaker.

  • The notetaker goes to the planned link at the planned time. If the meeting starts earlier or moves to another link, add it manually.

  • One notetaker per meeting. If several Hyre users are in the same meeting, one notetaker joins and everyone gets the recording, transcript and summary in their own list.

  • Name and logo. In a meeting with only you, the notetaker uses your name and logo. With colleagues from your organisation it uses the organisation's name and logo. With Hyre users from different organisations it uses the default name and the Hyre logo. Set this under Settings › Notetaker.

  • Using another notetaker too? Switch off auto-join in that tool, or you will have two bots in your meeting.

  • Languages. The notetaker understands 10 languages, including Dutch and English, also when someone switches mid-meeting.

  • Video is kept for 30 days. The transcript and summary stay.

  • Tell people you are recording. The notetaker says so in the chat, but people who join later do not see that message.
